Property management owner reporting

Your portal shows the numbers. Explain what changed.

Property managers in South Georgia and North Florida can turn one recurring export into an editable KPI dashboard, a five-slide owner decision report, and a monthly process the team can rerun—without replacing the accounting system.

Show SWH the current report

$295 fixed · 4 business days · one source file · up to six agreed KPIs · one revision

Statement versus decision report

Accurate transactions are necessary. They are not the whole conversation.

An owner statement records income, expenses, and proceeds for a period. An owner decision report turns agreed data into a short explanation of performance, exceptions, and next actions. SWH builds that second layer from the export you already produce.

Performance

What moved?

Show agreed measures such as collections, occupancy, net operating income, or expense movement—only when the source file supports them.

Exceptions

What needs attention?

Surface delinquency, vacancies, unusual costs, maintenance backlog, or other thresholds your team already uses.

Action

What happens next?

Give the owner a concise list of questions, decisions, or follow-up items instead of another unexplained data dump.

Fixed pilot

$295 No subscription. No platform migration. Delivered four business days after usable inputs arrive.
Start redacted. Column headers, a synthetic file, or an export with identifying data removed is enough to define the scope.

What you receive

One reporting process rebuilt as a reusable operating asset.

  • Source-file validation. Column structure, missing values, duplicates, and calculation assumptions are checked before presentation work begins.
  • Editable Excel dashboard. Up to six agreed KPIs, supporting tables, and visible calculations based on one recurring CSV or Excel source.
  • Five-slide owner report. A concise, editable presentation covering performance, exceptions, and action points supported by the source.
  • Plain-English rerun instructions. Your team keeps the process and knows how to refresh it when the next export arrives.
  • One revision. One consolidated round for agreed presentation or wording changes after the first delivery.
Boundary: this does not replace bookkeeping, reconcile trust accounts, correct the property-management system, or make investment recommendations. If the export cannot support a metric, it does not appear as fact.

How the build works

Keep the system you have. Fix the reporting layer that wastes time.

Step 1

Send one representative export

A redacted Buildium, AppFolio, Propertyware, Yardi, or spreadsheet export is enough. SWH does not need your account password.

Step 2

Agree on six or fewer measures

We define the calculations, exclusions, delivery boundary, and fixed price before the build begins.

Step 3

Own the editable process

You receive the dashboard, owner report, validation notes, and rerun instructions. There is no required monthly fee.

Inspectable proof

See the build quality before sending business data.

The Northstar files use synthetic operating data. They are not presented as property-management client work. They demonstrate the actual product shape: validated source records, visible KPI calculations, editable Excel output, and a short executive report.

Straight answers

Before you spend $295.

Does this replace Buildium, AppFolio, or another property-management platform?

No. Keep the platform. Use its native scheduled reports first. This service is useful only when owners or managers still need a clearer comparison, exception list, or decision summary built from an export.

Do you need access to our property-management account?

No. The fixed pilot starts from one redacted or synthetic CSV or Excel export. Do not send passwords, bank-account details, Social Security numbers, payment-card data, or tenant-sensitive information.

Can this combine several systems?

Not in the $295 pilot. That scope covers one recurring source file. Combining accounting, maintenance, leasing, and other systems may fit the $750 Workflow Build or a larger fixed-price sprint after the inputs are reviewed.

Will every metric shown here be included?

No. The pilot includes up to six measures agreed in advance, and only metrics the supplied source can support. The goal is a dependable report, not invented completeness.

Can SWH rerun it every month?

Yes, if requested after the pilot, but recurring production is optional. The standard delivery includes editable files and instructions so your team can run it without SWH.

Cheapest useful test

Send the column headers, not the keys to the building.

Describe the owner question your current statement does not answer. SWH will confirm whether the $295 boundary fits before anyone pays.
